Steps in Performance Evaluation

Step 1: Review Expectations

Revisit goals, KPIs, and behavioral expectations set earlier.

Step 2: Gather Performance Data

  • Work outputs and metrics

  • Attendance, punctuality, and reliability

  • Customer or peer feedback

  • Prior coaching notes and documentation

Step 3: Analyze and Compare to Standards

Match evidence to expected performance levels—not to other employees.

Step 4: Assign a Rating

Use the organization’s rating scale (e.g., 1–5, Below/Meet/Exceed).

Step 5: Prepare the Evaluation Report

Ensure it’s factual, objective, and example-based.

Step 6: Conduct the Evaluation Meeting

Discuss results, feedback, and next steps with the employee.

Step 7: Develop an Improvement or Growth Plan

Set action steps, timelines, and support mechanisms.
